Is all personal information secure?

Yes all information in secure, personal information is not used for any other reason than to inform you of your pending appointments. Please read our privacy policy for more information.

What is the cost?

The service is FREE to all clients. As a registered service provider there is a small cost per appointment, please comtact us for more information.

What if my favourite service provider is not registered with OnAppointmentOnly?

You can either ask your servie provider to register with us or send us the detail at support@onappointmentonly.com and we will contact them.

How will I know that my appointment has been accepted?

You will receive a confirmation e-mail from us confirming the details of the appointment. Alternatively you can see if the appointment has been accepted by going to your “My Appointments” panel after login where you can track and edit your appointments.

What if I forget about my appointment?

You will receive a SMS and email reminder 24 hours before the appointment.

What if a want to reschedule or cancel my appointment?

By logging into your online profile with OnAppointmentOnly, you can access all your appointments and edit or cancel it*.
A minimum cancellation policy of 24 hours apply, so any cancellation within 24hours can only be done telephonically with the service provider.
*Please ensure you are aware of the cancellation policy of the specific provider.

What if I have a special request?

You can include a special request or share further information with the provider when the appointment is made.

Questions a Service Provider may have?

What does it cost to register on OnAppointmentOnly?

To register is free, but a positive credit balance is required to make or receive appointments.
OnAppointmentOnly works on a pre-paid system. Credits can be bought from the credits panel in your profile. When a patient makes an appointment
with you the appointment will cost R5.00 or 5 credits.
Appointments made by the provider will cost R1.00 or 1 credit. This includes all SMS's send to the patient

Is there a cost when a client cancels an appointment or do not pitch up?

No only when the client cancels the appointment within the 24 hours before the actual appointment.

Why are online appointments important to grow your business?

How do clients make appointments?

Existing or potential new clients will be able to search your business and select a specific date, time and the service required. The client will be able to access the online diary and find a suitable time and make the appointment online.

How does the system know how much time to allocate to each client?

You will be able to list each service you provide and the duration for each, the system will then allocate the appropriate time for each appointment or combination of appointments.

What if there is more than one professional in the business that requires a diary?

The system allows for as many diaries as required. Specific services can be allocated to each diary.

Are the appointments made private and secured?

Yes the appointment is private and secure. Clients can only see available times, but are not able to access the details of other clients and appointments. Each registered diary has its own login credentials keeping data save and secure.

Can the system accommodates leave and different working hours?

The OnAppointmentOnly system provides total flexibility in setting up each diary, managing leave and working hours effectively. At any time certain hours can be blocked and indicated as unavailable.

How are appointments made when clients phone in?

The service provider is in full control of the system and can make an appointment on behalf of the clients on the system. The client will also then receive an e-mail and SMS confirmation 24 hours before the scheduled appointment.

How is control kept over appointments?

OnAppointmentOnly has various controls built in to ensure to give as much control as required, these include;
Automated acceptance of all appointments or manual acceptance.
Fully flexible diary settings, ensuring full control over available times.
Time control managing how far in advance clinets can make appointments, e.g. 1 week, 6 weeks, 6 months etc.
Lead time managing how much notice you require for online appointments e.g. 0, 1 or 2 days etc.

Can OnAppointmentOnly be integrated into a website?

Yes, a booking button can be placed on any website allowing clients to access your online diary directly from your own website.

What can be done if an emergency occurs and appointments can no longer be honoured?

Appointments can either be cancelled or rescheduled. Clients will receive an SMS and email informing them that the appointment was rescheduled or cancelled.

What if additional information is required from a client when an appointment is made?

A unique appointment template can be created requesting information like age and gender at the appointment stage.

Can information regarding the appointment be shared with clients?

Yes, a note can be added to any appointment, this note can be marked private or it can be shared with the client. An email will alert the client of the message.
